Acceptance of Terms

EDAS provides its services to you subject to the following Terms of Service (TOS). If you do not agree to be bound by our TOS, do not use or access our services. We may amend these terms at any time by posting the amended terms on this site. Amendments are effective 7 days after posting. These terms apply to both conference organizers who pay for our services and chairs, authors, reviewers and attendees using our services.

Conference and Journal Organizers

You must be legally able to organize the conference that you create on our site. You must accurately describe your event and all terms, including cancellation and refund policies. You are obligated as the organizer to complete the transaction with the registering user. Without limiting any other remedies, we may suspend or terminate your account if we suspect that you have engaged in fraudulent activity in connection with our site or your conference or journal.

You agree that you will use your real name, affiliation and email address for all EDAS purposes.

You agree not to share your password with any other person and will not share accounts.

You agree that you will not send unsolicited email to prospective authors or TPC members, whether through EDAS or any other mechanism, when organizing a conference with EDAS, as this reflects badly on other conferences using EDAS.

You agree that you will not invite TPC members more than once if invited by topics of interest and not more than three times if the TPC member had agreed to serve in a previous instance of the conference, whether through EDAS or any other mechanism.

You agree that you will not extract, collect or export EDAS user information, such as email addresses, or other contact information to send call-for-papers (CFPs), TPC invitations or other messages within or outside EDAS.

You agree that you will only send CFPs for the conference or journal itself and only if the conference or journal submissions are handled by EDAS.

You agree that you will not send CFPs for other conferences to members of the TPC, authors or any other conference email group, except for a conference in the same conference series.

You agree that you will use the EDAS email sending functionality only for matters directly related to the conference or journal and only for the intended purpose. For example, you agree that you will not use the EDAS email and notification facilities to send CFPs for other conferences or journals, solicit votes, conduct petition drives or advertise products, services or events.

You agree that you will permit EDAS to fully refund registrations to attendees if your event is cancelled, or is held at a different date or moved to a different location than stated at the time of registration. If some or all of the collected funds have been transferred to your account, you agree to provide full refunds to attendees within 30 days of the original date of the conference.

If, at any time, EDAS receives a credit card chargeback or determines that a registration is fraudulent, you agree to reimburse EDAS for the amount of the chargeback or fraudulent charge.

You agree that any fees for currency conversion and bank (wire) transfers are the responsibility of the conference.

Conference Attendees

By registering for a conference or pay for other conference or journal-related services, you agree to abide by the refund policy of the conference or journal as configured in EDAS. Conferences may, for example, offer only partial or no refunds for cancellations beyond a certain date or may not offer refunds if you do not attend the conference for any reason ("no show"). If you have questions about the conference refund policy, please contact the conference organizers as only they can provide binding answers.

Due to currency conversion and fees imposed by your bank, the amount shown on your credit card statement may differ from the registration fee shown on the conference web site or EDAS.

If a conference is cancelled and EDAS has transferred the attendance fees to the bank account of the conference organizers, you must contact the conference organizer to seek a refund.

Payment Services

Payment processing services for attendees, authors and conferences on EDAS are provided by Stripe and are subject to the Stripe Connected Account Agreement, which includes the Stripe Terms of Service (collectively, the “Stripe Services Agreement”). By agreeing to these terms or continuing to operate as a conference organizer, author or attendee on EDAS, you agree to be bound by the Stripe Services Agreement, as the same may be modified by Stripe from time to time. As a condition of EDAS enabling payment processing services through Stripe, you agree to provide EDAS accurate and complete information about you and your business, and you authorize EDAS to share it and transaction information related to your use of the payment processing services provided by Stripe.

Indemnification

You agree to indemnify and hold EDAS, and its subsidiaries, affiliates, officers, agents, co-branders or other partners, and employees, harmless from any claim or demand, including reasonable attorneys' fees, made by any third party due to or arising out of information you submit, post, transmit or make available through the Services, your use of our services, your connection to the services, your violation of the TOS, or your violation of any rights of another.

Disclaimer of Warranties

You expressly understand and agree that:

  1. This service is provided "as is" and without any warranty or condition, express or implied, including, but not limited to implied warranties of merchantability, fitness for a particular purpose and non-infringement. Some states do not allow the disclaimer of implied warranties, so the foregoing disclaimer may not apply to you.
  2. EDAS makes no warranty that (i) the service will meet your requirements, (ii) the service will be uninterrupted, timely, secure, or error-free, (iii) the results that may be obtained from the use of the service will be accurate or reliable, (iv) the quality of any products, services, information, or other material purchased or obtained by you through the service will meet your expectations, and (v) any errors in the software will be corrected.
  3. Any material downloaded or otherwise obtained through the use of the service is done at your own discretion and risk and that you will be solely responsible for any damage to your computer system or loss of data that results from the download of any such material.
  4. EDAS is not responsible for the organization or conduct of the conferences and journals that use its services. Any refunds due to cancellations or other failures to deliver promised services are solely the responsibility of the organizers of the conference or journal, not EDAS.
  5. No advice or information, whether oral or written, obtained by you from EDAS or through or from the service shall create any warranty not expressly stated in the TOS.

Limitation of Liability

You expressly understand and agree that EDAS shall not be liable for any direct, indirect, incidental, special, consequential or exemplary damages, including but not limited to, damages for loss of profits, goodwill, use, data or other intangible losses (even if EDAS has been advised of the possibility of such damages), resulting from: (i) the use or the inability to use the service; (ii) the cost of procurement of substitute goods and services resulting from any goods, data, information or services purchased or obtained or messages received or transactions entered into through or from the service; (iii) unauthorized access to or alteration of your transmissions or data; (iv) statements or conduct of any third party on the service; or (v) any other matter relating to the service.
